HR/Administrative Assistant
Position Overview:
The HR/Administrative Assistant plays a pivotal role in supporting the smooth functioning of the Human Resources department and administrative operations within the organization. This role requires a high level of organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously. The HR/Administrative Assistant serves as a point of contact for employees and external partners, assisting with various HR-related tasks and administrative duties.
Key Responsibilities:
- Human Resources Support:
- Assist with recruitment processes, including posting job openings, scheduling interviews, and conducting initial screenings of candidates.
- Coordinate new hire onboarding activities, including preparing paperwork, conducting orientation sessions, and assisting with the setup of employee records.
- Maintain accurate and up-to-date employee records, including personnel files, HR databases, and digital filing systems.
- Process employee documentation such as contracts, offer letters, and other HR-related correspondence.
- Assist with employee benefits administration, including enrollment, changes, and inquiries.
- Handle employee inquiries regarding HR policies, procedures, and programs.
- Administrative Support:
- Provide general administrative support to the HR department, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Prepare and distribute internal communications, memos, and announcements.
- Assist with the preparation of HR-related reports and presentations.
- Manage office supplies inventory and place orders as needed.
- Assist with the coordination of company events, meetings, and training sessions.
- Handle incoming calls, emails, and correspondence in a professional and timely manner.
- Compliance and Record-Keeping:
- Ensure compliance with relevant employment laws and regulations.
- Maintain confidentiality and security of HR and employee information.
- Assist with the preparation and filing of various HR-related forms and reports.
- Monitor and update HR policies and procedures as needed.
- Special Projects:
- Participate in special projects and initiatives as assigned by HR management.
- Contribute to process improvement efforts within the HR department and across the organization.
Qualifications:
- Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
- 2-4 years of experience in a similar HR or administrative support role.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and HRIS systems.
- Strong organizational skills with the ability to prioritize tasks and meet deadlines.
- Excellent communication and interpersonal skills.
- Attention to detail and accuracy in data entry and record-keeping.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Proactive and self-motivated with a strong sense of initiative.
- Ability to work effectively both independently and as part of a team.
