Summary
The Advancement Database & Office Administrator is responsibility for the database and supports the overall functioning of The Albany Academies Office of Advancement.
Reports to: Director of Advancement
Duties & Responsibilities
- Process and enter all charitable gifts to database
- Prepare weekly reconciliation for the Business Office
- Produce and ensure accurate and prompt donor acknowledgements
- Maintain constituent records in the database
- Greet visitors to the IA Office
- Direct incoming calls
- Maintain inventory of office supplies
- Process incoming and outgoing mail
- Receive and record event RSVPs, produce registration reports and nametags, and manage check-in at events
- Support Institutional Advancement initiatives as needed
Qualifications
- Education: Associates degree
- Experience: 5 years of basic bookkeeping and office administrative experience
- Demonstrated ability to master relational databases (Raisers Edge a plus)
- Highly proficient with Microsoft Office Suite and especially Word and Excel

Travel: Occasional local day travel is required
Status: Full-time, 12-month, salary non-exempt
Salary: $48,000-$55,000
Working Environment & Physical Requirements
- Generally, the role is conducted in a heated and cooled office environment
- Most of the work can be done sitting
- Routinely move about inside the building and occasionally outside from building tobuilding
- Frequent interaction with others through speaking, listening, and typing
- Ability to operate office equipment including computers, printers, copiers and the like
- Occasional evening and weekend hours
