Spruce Builders LLC was formed in 2020 to manage ground up construction and historical renovations for a select group of Real Estate investors. Our projects are entirely in the Philadelphia area to serve the local community. We have a small team of powerful leaders organizing all facets of operations to make our projects come to life. We are extremely selective in our hiring process- knowing the impact on the group experience (if you make the wrong choice!). Role Objective:
The Construction Estimating Coordinator will report to the Estimator and play a pivotal role in our construction projects by assisting with the estimation process from start to finish. This individual will be responsible for creating RFPs, developing bid documents, preparing detailed take-offs, managing bid tracking, and collaborating closely with trade partners to ensure accurate and competitive bids. The ideal candidate will have a background in construction estimating, excellent communication skills, and a proactive approach to problem-solving.
Key Responsibilities:
- Lead in creating Request for Proposals (RFPs) for construction projects, ensuring clear and comprehensive documentation of project requirements.
- Develop bid documents for each project, including scope of work, specifications, and contract terms, in collaboration with project stakeholders.
- Prepare detailed take-offs from architectural and engineering drawings to accurately quantify materials, labor, and other project costs.
- Save bids and plans in company software, maintaining organized and easily accessible project records for future reference.
- Update bid tracker daily to monitor bid status, track deadlines, and facilitate timely decision-making by key stakeholders.
- Prepare budgets and present value engineering ideas to optimize project cost-effectiveness without compromising quality or performance.
- Create bid lists and coordinate with trade partners, subcontractors, and suppliers to solicit competitive bids and ensure comprehensive project coverage.
- Review subcontractor proposals and confirm scope of work, specifications, pricing, and other contractual terms to validate accuracy and alignment with project requirements.
- Request, analyze, and maintain vendor project documentation, including Certificates of Insurance (COI) and Philadelphia contractors licenses, to ensure compliance with regulatory requirements and company standards.
Qualifications:
- Bachelor's degree in Construction Management, Engineering, or related field preferred.
- Minimum of 3 of experience in construction estimating or related roles.
- Proficiency in construction estimating software (e.g., Bluebeam, Buildertrend) and Microsoft Office Suite.
- Strong analytical skills and attention to detail, with the ability to interpret complex construction documents and specifications.
- Excellent communication and interpersonal skills, with the ability to collaborate effectively with internal teams, external stakeholders, and trade partners.
- Proven ability to prioritize tasks, meet deadlines, and adapt to changing project requirements in a fast-paced environment.
- Knowledge of local building codes, regulations, and industry standards, particularly in the Philadelphia area.
- Knowledge of residential construction materials
- Experience with value engineering and cost-saving strategies preferred.
Job Type: Full-time
Pay: $65,000.00 - $75,000.00 per year
