Job Description: We are seeking a proactive and professional Event Coordinator to oversee and enhance our club’s event offerings. This role involves coordinating weddings, business meetings, social gatherings, and club-sponsored events. This position will also assist the F&B management team with the execution of various member dining areas on non-event related times. The successful candidate will manage event planning from conception through execution, ensuring memorable experiences that meet both aesthetic and functional standards.
Duties and Responsibilities:
· Helps member clients arrange banquets, luncheons, meetings, weddings, dances and other social events; obtains pertinent information needed for guest planning
· Plans/coordinates/advertises all member social events
· Provides guest tours and offers suggestions in efforts to sell the club’s facilities for the occasion being planned
· Works with the Chef to determine selling prices, menus, and other details for catered events; oversees the development of contracts
· Suggests and helps guests plan menus in conjunction with the Chef and/or other culinary personnel
· Coordinates/provide event planning with Department Heads and arranges for printing of menus, procuring of decorations, entertainment, and other special requests, etc.
· Inspects finished arrangements; be present to oversee the actual greeting and serving of guests
· Checks function sheets against actual room set-up; oversees personnel scheduling for special functions and may help supervise service personnel
· Oversees scheduling of food and beverage service employee meetings
· Maintains past and potential client files; schedules calls/visits to assess on-going needs of prospective clients for catering services
· Helps develop catering budgets; reviews financial reports and takes corrective actions as appropriate to help assure that budget goals are met
· Arranges prompt payment for all events
· Critiques functions to determine future needs and to implement necessary changes for increased quality
· Tracks new products and trends in food service and catering applicable to the club
Additional Duties / Responsibilities:
· Gains knowledge of the implementation of all Club initiatives and programs that are requested by management.
· Teams with other Club departments to ensure exemplary customer service and adherence to policies and procedures.
· Maintains knowledge of other Clubs and industry trends.
Minimum Education, Experience & Other Skills:
· Four-year college degree or equivalent experience preferred.
· A minimum of 2 years of progressive responsibility in the food and beverage industry with event planning experience.
· Proven ability to effectively build and foster a team environment.
· Ability to effectively communicate verbally and non-verbally with others.
· Ability to work with all personality types even in adverse situations.
· Ability to prioritize, anticipate situations, and take quick action.
· Proficient in Microsoft Word/Excel.
Certification Preferences:
· Basset Certified
· Handler Certification
· AED/First Aid and CPR Certification

Organization Profile:
Riverside Golf Club is a private club serving members and their guests from the community and across the world since 1893. The Club is conveniently located 12 miles from the Chicago Loop and set on 125 acres of historic land along the banks of the Des Plaines River. The Club has recently undergone a $7.9M renovation that consisted of a brand-new outdoor patio space as well as a ladies locker room renovation. The Club has six dining outlets to service the Membership throughout the season. The Club is open 11 months of the year.
