We are looking for an Office Administrative Assistant who will be responsible for greeting and directing visitors and providing general administrative support to our team. The ideal candidate will be a people person with a warm and friendly demeanor, as well as being highly organized, self-motivated, trustworthy and efficient. Excellent written, verbal communication skills, time management and Multitasking.
Point of contact for employee facility questions, issues, concerns
Administrative support for visiting executives, new hire candidates and visitors
Coordinates with management and staff on conference room availability
Provides suggestions to management on the overall functioning of the office
Actively participates in the monthly admin conference calls and reports back on office accomplishments, as well as issues
Maintains office supplies and replenishes stock as needed
Maintains records, supplies and maintenance for all office equipment, (copiers, printers, postage meters, etc.; including monthly meter readings)
Maintains record keeping for miscellaneous site equipment including, but not limited to, cameras, site radios, data storage devices, and projectors
Support new hire onboarding
Coordinates desk set-up for new employees including, but not limited to, office supplies, office furniture and desk telephones
Point of Contact for and day-to-day coordination of select site vendors, including delivery service providers(US Postal Service, Federal Express, UPS, etc.), office cleaners, vending service, and shredding service provider
Back up Executive Assistant
Setting and managing the daily schedules and calendars for executives
Prepare and/or edit documents such as expense reports, memos and invoices
Create and maintain an efficient documentation and filing system
Other duties as assigned

HS Diploma or GED required
5+ years of experience
Prior experience in administrative role
Verbal and written communication skills
Strong attention to detail
Ability to work with a variety of personalities and individuals
Ability to multitask
Proficiency with MS Office, including Outlook email, Search Express, Word, Excel, Concur is a plus but not required.
